Returns & Refunds

Identify the stage of a CSSBuy order, prepare return evidence and distinguish seller refunds, account credits and payment withdrawals.

AT A GLANCE

Identify the purchase stage, request the specific action and retain written confirmation. A seller return, a credit to the CSSBuy balance and a withdrawal to a payment method are separate steps.

Request Type and Order Stage

Start by identifying what needs changing: an option before purchase, a bought item still with the seller, a warehouse item, or a product already delivered internationally. State the result you want and give the reference for that stage. The purchasing agent can only act on the situation that actually exists.

CSSBuy’s exchange answer distinguishes changes before and after seller dispatch. After dispatch, the seller must agree and exchange freight can apply. Ask for confirmation that the requested action was accepted before ordering an alternative or including the original item in a parcel.

Damage or incorrect contents after deliveryPreserve the package evidence and contact the relevant parcel record.

Warehouse Return Requests

Review the received item promptly. CSSBuy’s self-service return page refers to a seven-day warehouse return window and says a later return needs seller negotiation. This is not an assurance that every item has an unconditional seven-day refund. Confirm the item’s eligibility, the actual arrival date and the request available in your account.

Keep the item, labels and packing in the state needed for the proposed return. If the seller has already agreed, attach that agreement and the correct destination to the order message. Ask who will arrange the return shipment and what will be charged.

Evidence and Return Approval

The official return procedure asks for the order reference, product information and photographs when the item is damaged or differs from the order. CSSBuy then contacts the seller and communicates the accepted return or exchange instructions. Keep that approval before sending anything.

For a return from overseas, retain the original purchase proof and packaging as required by the agreed process. Follow the merchant’s deadline and the destination confirmed by CSSBuy. International return time and freight need to be considered before you commit to it.

  • Show the whole item and a clear view of the specific issue.
  • Include the selected option and the relevant order or parcel ID.
  • Retain the seller’s or agent’s written acceptance.
  • Confirm the return destination, deadline and payable freight.
  • Save the return tracking record and the final outcome.

Return Conditions and Costs

The return policy makes merchant conditions and supporting purchase evidence relevant to the outcome. Altered items, missing parts and absent purchase proof can affect acceptance. Preserve the received condition while the request is being assessed.

Ask for the amount to be refunded and any transport or other applicable deduction before treating the return as worthwhile. An accepted exchange may require a new seller shipment as well as return freight. Record those amounts separately from the international parcel you have not yet submitted.

Account Credits and Balance Withdrawals

An out-of-stock cancellation can return funds to your CSSBuy account. Check the item’s status and the corresponding balance entry. That credit is different from sending unused account money back to the original payment channel.

The balance-refund help page directs users to the refund records in their account. Use the current process for your original payment method and ask support if the requested withdrawal is unavailable. The page contains older provider-specific instructions, so this guide does not present them as a universal processing time or payment promise.

Keep the original top-up reference, requested amount, request date and refund reference together. Ask where the money has been credited or sent when following up. A completed order cancellation does not establish that a separate withdrawal has reached your bank.

Refund Reconciliation

Compare the purchase, return and balance records line by line. Identify the amount initially paid, any agreed return cost, the account credit and any later withdrawal. This explains whether a difference is a deduction, a separate pending transaction or a question that needs support.

For example, if a hypothetical item refund is ¥150 and an agreed return freight charge is ¥12, record both entries instead of describing the result simply as a ¥138 item price. This is an accounting illustration, not a CSSBuy fee schedule.

Request References & Support Follow-Up

Send one clear message containing the reference, current status, evidence and requested resolution. Keep subsequent replies in the same record where possible. If you have both a seller return and a balance withdrawal, name the one you are asking about.

Check the confirmation rather than repeatedly submitting the same request. A change in the order’s status, return tracking and a posted balance movement each document a different part of the process. Keep the final reply until the purchase and payment records reconcile.
